Town Hall Arts Center is hiring for a full-time Office Manager to help manage day-to-day operations at our Historic Downtown Littleton Theatre. We are growing and need dedicated support to help keep us running smoothly. Our current Office Manager is moving to another opportunity but will be present for onboarding and training.

Position Title: Office Manager

FLSA Status: Full-Time, Non-Exempt
Reports to: Chief Operating Officer

Compensation: $24 hour + Benefits package

General Purpose
Manages general day-to-day operations of Town Hall Arts Center (THAC) by being a hands-on and participative manager leading and developing the following areas: finance, policies and procedures, business planning, budgeting, administration, and inter-departmental communications.

Essential Duties/Responsibilities

OFFICE MANAGEMENT
• Develops, implements, and monitors compliance with operational procedures, systems, and policies; working
with outside vendors and contacts as needed.
• Ensures the utilization, organization, and upkeep of THAC’s data and archival structures (SharePoint, DropBox).
• Identifies and directs resources necessary for THAC to achieve its organizational goals.
• Oversees the hiring and onboarding process for all employee positions, focusing efforts to ensure diversity of
job candidates to continually strengthen the skills and perspectives brought to the THAC staff.
• Serves as liaison to outside vendors such as IT provider, janitorial services, HR provider, phones, internet, etc.
• Monitors the overall technological health of the organization, working with outside IT consultant
• Maintains THAC’s operational calendar.
• Maintains janitorial, kitchen, and office supply stock.
• Other duties as assigned.

FISCAL MANAGEMENT
• Provides data entry for accounts receivable/payable, bank deposits, EFTs, ACHs, prints checks, and properly
files all paid invoices and expense verifications, making sure THAC is organized and in compliance.
• Processes appropriate reports from ticketing system, Spektrix, to account for daily sales in QuickBooks Online.
• Handles bi-weekly payroll for employees and contractors through Paychex. Manages, with assistance of payroll
company, employee benefits and processes.
• Manages organizational cash flow.
• Leads annual budgeting process by assisting department heads with creating their budgets, presenting drafts to
the Finance Committee and the Board, and managing the implementation and control of the Board adopted
budget.
• Assists in gathering all documents needed for the annual audit process.
• Other duties as assigned.

BOARD RESPONSIBILITIES
• Compiles the packet for monthly Finance and Executive Committee Meetings. Attends all monthly meetings
and takes meeting minutes.
• Obtains Board reports from staff members and compiles the packet for 5x/year Board Meetings. Attends all
Board Meetings and takes meeting minutes.
• Other duties as assigned.

Job Qualifications
Knowledge, Skills, and Abilities:
• A successful candidate is detail oriented, responsible, is able to clearly communicate and build relationships, is
committed to following policies and procedures, is willing to hold others accountable, and possesses the ability
to multi-task in a fast-paced, non-profit team environment.
• Is able to set priorities with keen analytic, organizational, and problem-solving skills.
• Is technologically savvy with experience in accounting and reporting software.
• Is dedicated to the mission of Town Hall Arts Center.

Education or Formal Training / Experience:
• A Bachelor’s degree in a business, non-profit, or finance related field is preferred.
• Two (3) years’ Booking experience required. QuickBooks online is preferred.
• Two (2) to five (5) years of directly related operational experience in a non-profit entity (501(c)(3)) is preferred.
• An equivalent combination of education and/or experience may be substituted, as long as it directly relates to
the essential duties and responsibilities.
Additional Requirements/Licenses/Certifications:
• Must have access to transportation.
• Candidates must pass a background check.

Working Conditions
Working Environment:
THAC operates in a professional, climate controlled, fast-paced office environment with prolonged periods of sitting. This role will normally work standard office hours and work week, but may occasionally be required to work weekends, evenings, and/or holidays for meetings, special events, and/or performances. This role routinely uses standard office equipment such as computers, phones, copiers, printers, and filing cabinets. Driving on behalf of the organization is expected on a regular basis.

Physical Activities:
These are representative of those which must be met to successfully perform the essential functions of this job.
While performing the duties of this job, the employee is regularly required to talk and hear. This is largely a sedentary role; however, some filing is required. It would also require the ability to reach for and lift files, open filing cabinets, and bend. The employee frequently is required to stand, walk, use hands, and reach with hands/arms. Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus. Employee may have to lift up to 25 pounds on an infrequent basis.
